What if there is a disagreement during the transaction? What is dispute resolution?
Online transactions are built on trust, but even with the best intentions, things don't always go according to plan.
Imagine you order custom apparel for a corporate event, but the delivery arrives late with incorrect logo colors. Or, as a web developer, you finish a site update only for the client to ghost you when it’s time to sign off.
In traditional online shopping or direct bank transfers, these situations usually lead to frustration, lost money, or endless back-and-forth arguments. With Nairafy, a disagreement doesn’t mean you’re out of luck.
Here is a breakdown of what happens when there is a disagreement during a Nairafy transaction, what dispute resolution means, and how our process protects both parties.
What Is Dispute Resolution?
Dispute resolution is the structured, impartial process Nairafy uses to settle conflicts between a buyer and a seller before any escrow funds are released.
When you transact through Nairafy, payment is safely held in a neutral escrow account. Funds are only disbursed to the seller once the buyer approves the goods or services based on the initial agreement.
If either party flags an issue during the Inspection Period, the transaction transitions into a Dispute State. This instantly freezes the funds, preventing payouts or automatic refunds while the issue is being investigated and resolved fairly.
Common Reasons Transactions Enter Dispute
Disagreements usually stem from unmet contract terms or miscommunication. The most frequent triggers include:
Non-Delivery: The buyer paid, but the seller failed to deliver the items or services.
Material Difference: The item delivered looks completely different from the listing description or sample.
Damaged or Defective Goods: The physical merchandise arrived broken or malfunctioning.
Unfulfilled Milestones: A service provider (e.g., freelancer or contractor) did not meet the agreed project specifications or Service Level Agreement (SLA).
Rejected Returns: A buyer returns a product, but the seller claims it was returned damaged or incomplete.
How Nairafy Handles Disagreements: Step-by-Step
When a disagreement occurs, Nairafy follows an objective, evidence-based process:

1. Raise a Dispute (Funds Frozen)

2. Direct Negotiation Window

├──► [Agreed] ──► Release / Partial Refund

3. Evidence Submission (Proof Uploaded)

4. Neutral Mediation & Final Decision
Phase 1: Raising the Dispute
If an issue arises, the buyer or seller clicks "Raise a Dispute" inside their Nairafy dashboard before the inspection window closes. Raising a dispute immediately pauses the transaction counter and locks the escrow funds safely in place.
Phase 2: Mutual Negotiation
Nairafy first provides a dedicated negotiation period. Many disagreements are simply minor misunderstandings. During this phase:
Both parties can communicate directly through the portal to negotiate a solution (e.g., agreeing on a partial refund, an extension, or a replacement item).
If a mutual agreement is reached, both parties sign off, and funds are disbursed accordingly.
Phase 3: Evidence Submission
If direct communication fails, the case moves to Nairafy Mediation. At this stage, our resolution team requests evidence from both sides, which may include:
Receipts, invoices, or original project scope documents.
Waybills, courier tracking links, and proof of delivery.
Unboxing videos, product photos, or quality inspection receipts.
Chat transcripts, emails, or milestone sign-off sheets.
Phase 4: Fair & Binding Verdict
Our dispute officers review the submitted proof against the original transaction terms. Once evaluated, Nairafy issues a fair determination, which could mean:
Full Refund to Buyer: If the seller failed to deliver or breached core terms.
Full Release to Seller: If the seller fulfilled all obligations as described and the buyer’s rejection is unjustified.
Split Payout: A proportional refund/payout agreed upon by both sides (e.g., covering partial work completed).
How to Protect Yourself in Case of a Dispute
To ensure a smooth resolution if a disagreement occurs, follow these tips:
Be Specific in the Deal Terms: Clearly outline deliverables, specifications, delivery dates, and return conditions inside Nairafy before depositing funds.
Inspect Promptly: Review your delivery immediately upon arrival and test all features within the inspection window.
Document Everything: Take unboxing photos or videos for physical goods, and save written specifications for digital projects.
Keep Communication On-Platform: Keep key deal discussions traceable so our team has clear, verifiable proof to review.
Bottom Line
Disagreements happen, but losing your money shouldn't be the outcome. With Nairafy’s escrow and dispute resolution framework, neither party has to worry about unfair treatment or scams. You stay in control of your funds, and every transaction is backed by transparency, proof, and peace of mind.
